Security and your data
Is Coggno secure?
Yes. The site runs over SSL and passwords are stored in encrypted form. Access to data is scoped three ways: by user role, by a unique key the system assigns, and by LMS membership. Server access is limited to authorized staff, and data is backed up regularly.
Can we get a security review document?
Yes. Our SOC 2 report is available in Technical Documentation.
Branding your portal
Can the portal carry our logo?
Yes, on every plan. You can add your company name and your logo appears on the email notifications.
Can we use our own URL?
A custom URL comes with Coggno Prime, alongside SSO and API access. Enterprise adds full white-labeling. See pricing for the current plan breakdown.
Users, groups and permissions
How many administrators and groups can we have?
Unlimited, on every plan.
Can I separate learners by department, branch or site?
Yes. Create as many groups as you need and assign training to a whole group at once. A learner can belong to several groups, and you can still assign a course to one person inside a group.
I am the global administrator. Can I delegate?
Yes. Access is role-based. You can give someone administrator rights across the whole LMS.
Reminders and messaging
Can we remind learners to finish their training?
Yes. Welcome emails go out automatically when you import or create users, carrying your URL and their login details, and you can add your own message to them. Administrators can message individuals or whole groups directly, and the Assignment tool sends automated reminders ahead of a due date to anyone who has not finished.
What if we do not want the system emailing our people?
Notifications are optional. You can choose not to send them when you create or import users.
Getting training to your people
How do we distribute courses to employees?
Through your Coggno account, and the right setup depends on whether your staff have work email. A Company account gives each employee their own login and tracks them individually. A Training Kiosk account suits temporary, part-time or field staff with no corporate email: everyone shares one company login and picks their name from a list. Either way you monitor, track and report on training in real time.
Can I buy one course and share it across my staff?
No. Courses are licensed per learner, and completion records and certificates are issued to the individual who took the course. Many courses exist to satisfy state or federal requirements, so per-employee records are what stands up to an audit.
Do learners receive a certificate?
Most courses issue a printable Certificate of Completion, emailed automatically when the learner finishes.
Courses, content and integrations
Can we upload our own training?
Yes: SCORM packages, documents, quizzes and surveys. Uploading your own content is included in all plans.
Can I create surveys?
Yes. Survey answers feed into your group reports, which is how most customers capture employee number, manager, location and hire date. Learners can fill a survey in, or you can supply the data for upload.
Can Coggno connect to our HR system?
Coggno Prime includes HRIS and payroll sync across 24 providers, refreshed daily, plus SSO and API access.
How long do learners keep access to a course?
Generally, courses are available for multiple views between one and two years.
How long are the courses?
They vary widely, from about 30 minutes to eight hours or more. Each course page in the Marketplace lists its length.
Do courses include material to download?
Some do. It varies by course, and the course page says so.
What is the difference between an online course and a webinar?
A webinar is watched, like a video. An online course is interactive and self-paced, usually combining video, voiceover and slides, and it checks the learner's comprehension as they go.
Are CEU / CEC courses available?
Yes. Courses carrying continuing education credit are available in fields including real estate, dentistry and nursing.
How do you choose content providers?
Coggno partners with subject-matter experts in HR and compliance, safety, business management, software and other fields, and those partners supply the Marketplace. You can read and leave reviews on any course from its Marketplace page.
